    Responsibilities

    Key Responsibilities:

     

    • At the start of a project, evaluate project parameters and information to determine team needs and best path to completion. Collaborate with interactive team and creative team. Build, track and manage schedules to ensure deadlines are met. 50%
    • Assist in level of effort estimating for projects, with the assistance of the producers, writers and proofreading if needed. 15%
    • Coordinate and manage internal and third-party resources, making sure the right stakeholders are present in meetings, to move projects to completion. 10%
    • Utilize project management systems to facilitate the workflow of digital projects and assist other team members on how to use the platforms. 10%
    • Schedule project kick-off meetings, internal reviews and any necessary touch-base meetings, publish notes for meetings by end business day. 15%

     

    Additional Responsibilities:

    • Drive process improvements and process documentation that ensure on time and accurate jobs
    • Schedule project kick-off meetings, internal reviews and any necessary touch-base meetings. 
    • Record important details in project management tool to capture key meeting takeaways as well as to document detail next steps for the team. 
    • Consistently manage expectations, ensure delivery of the highest quality service, and solicit and act on feedback 
    • Develop a project plan for bringing the project to completion. This will be mainly for your use but could serve as a tool for the team as well. 
    • Monitor resources closely, alerting the team when requirements change, or schedules are in danger of missing deadlines. 
    • Coordinate change requests by reviewing, assigning and monitoring the work to ensure timely completion. 
    • Steer projects to keep them on course and to be strategic about when you can handle issues cropping up, and when it's time to call out risks before it's too late. 
    • Balance ‘too much’ process and ‘not enough’ process, always maintaining flexibility to fit the needs of any given project. 
    • Communicate effectively with both technical and creative teams while maintaining a sense of control and calm.  
    • Trouble-shoot and provide solutions to keep projects moving forward. 
    • During the development phase, work with the requesting team to ensure required assets are provided. 
    • Ensure QA process runs smoothly for websites and other digital projects. 
    • Stay informed on different digital terminology, process, digital solutions.

      • You have the ability to stay calm and collaborate, while meeting aggressive deadlines. 
      • You have a passion for sharing information and helping others be successful. 
      • You have an understanding of business and functional requirements, as well as third party integrations. 
      • You’re an excellent problem solver with good technical knowledge who anticipates risks/issues and manages the business partner’s expectations. 
      • You should be approachable, respectful, open, transparent and easy to work with – even in stressful situations. 
      • It helps if you’re self-aware, receive feedback well and continually improve. 
      • Plus, of course, you’re super organized, able to juggle a multitude of projects, and asks and tasks. 
      • 5+ years' agency experience with formal project management methodologies, including all forms of project documentation 
      • 3+ years of hands-on digital/website project work. 
      • Project Management certification bonus
      • Working knowledge of the website development process, print experience a bonus
